This checklist is for anyone who buys or checks safety gear for a crew—or just got handed the supply closet key and no instructions. It's not an OSHA manual. It's the 7-point run-through I do every month so I don't repeat the mistakes that cost me about $15,000 in wasted budget and a few scary conversations.
I've been a safety coordinator for seven years, and I've personally made (and documented) 14 significant mistakes. Some were small, like ordering the wrong respirator cartridges. Some were not small, like finding a gas detector on site that hadn't been bump-tested in months. That one still bugs me. This checklist is what I use now. I've run it maybe 200 times. Maybe 180, I'd have to check the spreadsheet—the number isn't the point.
Bottom line: 5 minutes of verification beats 5 days of correction.
Why MSA Safety gear shows up in most of my checklists
I standardize on MSA Safety for head protection, gas detection, and respiratory protection. Not because they're the only good brand—they're not. But because their spec sheets and manuals are consistent. When I send a crew out with an MSA safety gas detector, an MSA V-Gard hard hat, and an MSA safety mask, the replacement parts, cartridges, and charging docks all line up. That makes the check easier.
The 7-point checklist
Run this every 30 days, or before a big job. Print it. Keep it in a plastic sleeve. Do not rely on memory.
1. Hard hat: look for damage you're not cleaning off
Hard hats are the most visible piece of MSA safety gear—and the most ignored. Turn the shell over and inspect the brim and suspension slots for cracks. A cracked shell is a deal-breaker. Check the suspension for fraying. Find the date stamp inside the shell. If it's older than 5 years, replace it, even if it looks clean.
In September 2022, I replaced a whole crew's V-Gards because the shells looked fine but the suspension clips were snapping. That was a $1,300 mistake that a 2-minute check would have caught.
2. MSA safety gas detector: bump test before the shift, not after the alarm
The “gas detector only needs a bump test when it smells funny” thinking comes from an era when sensors were simpler. That's changed. A modern MSA safety gas detector can fail silently—no warning, no error code, just a sensor that stops responding.
At the start of each shift, the user should bump test the detector with the right test gas. In my monthly audit, I check that the log is real and recent. If the alarm doesn't react during the test, the detector gets calibrated before anyone wears it.
I also check the charging contacts and the calibration due date. The upside of skipping all this was saving maybe 20 minutes. The risk was sending a worker into a dangerous atmosphere with a dead sensor. That math is a no-brainer.
Looking back, I should have started logging bump test results in 2018. At the time, I didn't think we'd get audited. Then we did.
3. MSA safety mask: fit test and cartridge dates
A mask is only as good as its seal. If you're storing MSA safety masks in a gang box, they'll be dusty. Fine. But if the rubber is hard or shiny, it's time to replace.
- Do a negative pressure check. Cover the cartridges and breathe in. The mask should suck tight to your face.
- Check the cartridge expiration date. Some cartridges have a sealed shelf life; once opened, they start a clock even if you don't use them.
- If your team uses them for more than a year, schedule a formal fit test. Don't just “eyeball” the seal.
Per OSHA 29 CFR 1910.134, respirator users need a fit test before their first use and at least annually after that. A monthly checklist catches the stuff in between.
I once ordered 60 replacement cartridges for a mask we no longer used. (Should mention: that was early in my career, and the order was $640. I now check the model number on the mask before ordering anything.)
4. Work boots: Irish Setter work boots for rough terrain, Vans work boots for lighter work
Footwear isn't from MSA, so this is where the checklist branches out.
For rough terrain, I prefer Irish Setter work boots. They're not a fashion brand playing at workwear. The soles handle mud, and the heel locks in. Just remember: Irish Setter makes several lines, and not every one has a safety toe. Check the rating on the tongue before you assume.
For shop floors and light warehouse work, Vans work boots get a lot of love from younger crew members—which makes sense, because if you've worn Vans since high school, the work version feels natural. But don't put them on the same level as a heavy logger boot. On a wet roof, I want the deeper tread of the Irish Setter.
Whatever brand, flip the boots over. If the tread is worn down to nearly nothing, they're not work boots anymore. They're just boots.
5. Fall protection: inspect before you wear it, not after
If anyone works at height, inspect every harness and lanyard before the shift. Look for frayed webbing, broken stitches, and damaged snap hooks. Check the inspection tag. If there's no tag, send it back. Period.
OSHA's PPE standard (29 CFR 1910.132) requires this stuff to be kept in reliable condition. That's not a bureaucratic checkbox; it's the law.
I made this step mandatory after a near-miss in March 2023. An employee found a cracked carabiner while gearing up for ladder work. No one fell. But that carabiner should never have been on the truck.
6. Fire extinguisher: gauge, pin, inspection tag
MSA Safety makes a fire extinguisher line, and I keep one near any hot work. But it doesn't matter if the gauge shows full and the pin is missing. Quick checks:
- Gauge needle in the green zone. If not, replace or recharge.
- Pin through the handle and tamper seal intact. If the seal is broken, someone used it and put it back without saying anything.
- Monthly inspection tag initialed and dated. I do mine on the first Monday.
7. Smoke detector: how to reset smoke detector after changing battery
This one isn't MSA gear, but it's on the checklist because safety doesn't stop at the site gate. If your home smoke detector is chirping, you probably searched “how to reset smoke detector after changing battery” and landed here. So here's the short version.
- Put in a fresh battery. Use the battery type listed on the detector's label. Cheap off-brand batteries cause unnecessary chirps.

- For hardwired units: turn off the power at the breaker, wait 30 seconds, restore power, and press test once.
If the detector is more than 10 years old, replace the whole unit. A reset can't fix a dirty sensor.
Mistakes I still see people make
- Trusting the sticker. Just because the last inspector signed off doesn't mean a harness wasn't damaged after that check.
- Pressing the “test” button on a gas detector instead of doing a real bump test. The button tests the electronics, not the sensor's response to gas.
- Skipping the power-off reset on hardwired smoke detectors. If you just push the button, the dirt in the chamber can still trigger false alarms.
- Buying boots based on the logo instead of the terrain. (Which, honestly, I've done. The $49 pair fell apart in four months. Not worth it.)
Bottom line
The goal isn't perfect gear. It's a predictable system. My system uses MSA safety gas detectors because I trust the manuals. I use MSA safety masks because fit testing is straightforward. I use Irish Setter work boots or Vans work boots depending on the terrain, and I check all of it before it matters. At least, that's been my experience on industrial sites in the mid-Atlantic.
Run the checklist, find the bad harness, fix it, document it, and move on. That's how safety works.
