When This Checklist Applies
This is for anyone responsible for buying personal protective equipment—hard hats, safety glasses, gas detectors, fall protection—for a team of 10 or 1,000. Step 1: Define Needs Beyond the Spec Sheet

Step 2: Demand Transparent Pricing—The Full Picture

You'd pick B, right? The $38 hat came with a $15-per-order processing fee, $25 shipping that "couldn't be combined," and a restocking fee that effectively meant no returns. The $45 hat included ground shipping, no processing fee, and a hassle-free return window. Total cost? Vendor A: $45. Vendor B: $78 after the first order.
Why does this matter? Because hidden costs add up. I track every PO in a simple spreadsheet—unit price, shipping, handling, restocking, minimum order penalties. Step 4: Plan for Lifecycle and Maintenance
Some PPE is one-and-done (safety glasses, earplugs). Most isn't. Hard hats have expiration dates. Gas detectors need calibration. Fire extinguishers require inspections. Pull-on work boots wear out. Face shields scratch.

Ask vendors: What's the expected service life? What are the recommended inspection intervals? Do you offer recalibration or repair services? How much does that cost? If you're dealing with gas detection or fire alarms, you might wonder: "why is my fire alarm flashing red?" That's usually a fault or a maintenance indicator—check your manual. But better to choose equipment with clear diagnostic signals rather than cryptic ones. This is another step where vendor documentation matters.
Step 5: Test Before You Commit
I can't stress this enough. Before a large order, request samples. Not just one—enough for a small pilot group (say, 5-10 workers). Give them two weeks to use the gear in real conditions. Common Mistakes to Avoid

- Underestimating the cost of time. The $500 quote turned into $800 after shipping, setup, and revision fees. The $650 all-inclusive quote was actually cheaper. Time is money.
- Not testing with actual users. A chair manager who's never worn a hard hat on a hot roof for eight hours doesn't know what's comfortable. Let the crew decide.
- Ignoring lifecycle and maintenance. The cheapest fall protection harness might cost more in annual recertification fees than a better-built model. Ask for lifecycle cost estimates.
