I'm not a safety professional. I'm the office administrator for a 40-person general contracting and facilities company. Since 2020, I've handled every PPE order we place—roughly $40,000 a year across 8 vendors. I report to both operations and finance, which sometimes means I'm the one explaining why the money we saved on the front end wasn't really saved at all.
When I took over purchasing, our hard hat policy was simple: buy whatever met the OSHA standard at the lowest unit price. That policy lasted until a Tuesday in late June.
Three guys were on the roof of a client's warehouse doing parapet repair. One of them lost his footing for a second and caught the side of his head on a steel beam. The hard hat did its job—no hospital, no stitches, no lost-time report. But when the foreman called me afterward, he said something I still think about: "He told me he was about thirty minutes away from taking the hat off. The heat was that bad."
That's when it hit me. The helmet passed the lab test. It was failing the only test that matters: would a crew member actually keep it on for an eight-hour shift?
Why I stopped looking at price first
Before that summer, I would have defended our approach. OSHA's head protection rule—29 CFR 1910.135—requires employers to provide helmets that meet the applicable consensus standard, which is ANSI/ISEA Z89.1. Seems straightforward. Find the cheapest helmet with that label and buy 50 of them.
What I didn't appreciate was the difference between types and classes within that standard. Type I helmets only protect against blows to the top of the head. Type II helmets also handle side and off-center impacts. Then there's the electrical class. If you're only looking at the sticker, you're not really specifying protection; you're just specifying a label.
I spent two weeks going back and forth between the budget model we'd always used and the MSA V-Gard H1 safety helmet. The budget one was $9 cheaper per unit. On paper, that adds up fast across a crew of 30. My gut kept saying the field complaint about heat wasn't going to fix itself. Turns out my gut was right.
The V-Gard H1 wasn't magic. What it was, was noticeably lighter on the head and better ventilated than the old shells. The suspension distributed weight better than the cheap four-point system we had been using. I also appreciated that the helmet came in different configurations, so we could pick the style our guys actually wanted. This was back in June 2023, for the record.
The $12 accessory that made the difference
One of the older foremen came by my office after the sample hats arrived. He put one on, adjusted the fit, and then asked a question I'd never heard from him: "Do these have a brim option or something for the sun?"
That turned into the hard hat sun shade order. The accessory clips to the shell and extends down over the back of the neck. On sunny jobs—especially for guys working on their knees or bending over—that little piece of shade is the difference between leaving a hat on and leaving it in the truck. It cost around $12 each. The shade doesn't look tough, but I learned to care more about what workers actually wear than what looks good in a brochure.
I read up on MSA a little more after seeing how well the sample was received. In fact, I went down a rabbit hole and read an interview with MSA Safety's Dave Howells—at the time, newly named president of its international business. The leadership background was less relevant to me than the company's stated direction. They call themselves "The Safety Company," which is a bold claim, but they act like the category has a responsibility.
What a smoke detector can't do
That same month, our warehouse supervisor asked me why I hadn't installed a smoke detector near the propane forklift charging station. It was a fair question if you assume a smoke detector is a general-purpose danger alarm. It isn't. Smoke detectors respond to smoke particles, not to carbon monoxide or an unburned gas leak. If there's a propane leak big enough to make a smoke detector matter, you've usually already got a fire or explosion risk.
I don't have hard data on how many facility managers make this assumption, but I suspect it's more than a few. I'll include myself. When I first started managing the building budget, I thought we were being thorough because the offices all had working smoke detectors. The maintenance shop had a different hazard profile.
What we actually needed was a gas monitor for the areas where fuel and exhaust lived. We ended up asking our PPE distributor for an MSA gas detector and assigned it to the shop. That was a judgment call, not a sales pitch. The lesson stuck with me: name the hazard before you name the device.
The boot-cleaning conversation
Not every PPE question is high-tech.
A new hire in the shop asked me, with some embarrassment, how to clean work boots. He'd been told by an old-timer to "just oil them," which is about as specific as telling someone to "just cook it." The supplier's instructions are simple enough:
- Knock off dry dirt after every shift, including the tread.
- Wash with warm water and saddle soap—not a washing machine.
- Dry at room temperature. No ovens, no heaters.
- Condition with boot wax or oil once the leather is dry.
- Check the soles, heels, and toe structure while they're clean.
That last step is the reason this falls under prevention instead of vanity. You can't see a cracked sole or a softened toe if it's caked in mud. And if you can't see damage, you have no idea when to retire the boot. A clean boot isn't a fashion statement; it's an inspection checklist you wear on your feet.
What it cost and what it saved
We spent more money in July 2023 than I had planned. The head protection upgrade alone ran us roughly $1,500 over our historical budget once we ordered shades, replacement suspension systems, and spare shells. In a safety supply budget of about $40,000 a year, that's not a rounding error, but it's also not a catastrophe. The decision wasn't really about this year's line item, though. It was about preventing the kind of injury report none of us want to write.
I can't claim a single dramatic moment proved the purchase right. We went the rest of that summer without a heat-related close call, and the next client safety audit was the easiest one we've had—nobody had to be nudged to put a hat back on before the inspector turned the corner. Those are soft benefits, I know. I wish I had tracked a harder metric. What I can say anecdotally is consistent: the crew that used to treat hard hats as punishment now treats them as equipment.
Maybe the clearest sign was small. Two months later, one of the guys stopped me and asked if we could order the sun shade in the hi-vis color for the next round. That's not a guy counting minutes until he can take the hat off. That's a guy planning around wearing it.
What I'd tell another admin buyer
If you're the person who signs off on PPE purchases, here's my unsolicited advice:
Treat "they won't wear it" as an emergency, not an attitude problem. Almost every rule violation I've seen was a piece of equipment that failed the comfort test.
Ask the question you're afraid to ask: "Would you wear this on a ninety-degree day?" If the answer is no, you haven't found a bargain. You've found a liability.
And don't assume one safety device covers another. A smoke detector in the office doesn't protect the mechanic who works next to a propane tank. It doesn't matter if the device has a listing if it's the wrong category of device for the hazard.
Last one? When somebody asks how to clean work boots or whether a hard hat comes with a sun shade, don't roll your eyes. Those small questions are early warning systems. Pay attention before something bigger forces you to. (Note to self: ask the roofers about winter liners before November, not after the first cold snap.)
I wish I had listened earlier. But at least I'm listening now.
