Safety Equipment Ordering: The 5-Step Checklist That Would've Saved Me $23,000

I've been the guy who orders PPE for a 60-person industrial crew for eight years. I've personally made and documented 14 significant ordering mistakes, totaling roughly $19,000 in wasted budget and restocking fees. The worst one was a $3,200 gas detector sensor order that was entirely wrong. The part number was close, but not close enough.

This checklist isn't from a textbook. It's from my email history and my manager's 'what did we learn?' meetings. If you order hard hats, gas detectors, extinguishers, or work boots for a crew, this is for you.

1. Read the actual part number on the equipment

If you're searching for Bacharach MSA Safety 0007-1644 or Bacharach MSA Safety N29-16, you're looking at gas detector replacement parts. Those numbers look like minor variants. They're not. Depending on the detector series, the sensor type, range, connector, and calibration setup are different.

In 2022, I ordered 12 sensors from a saved part number in my work phone. The old sensor had a revision code I missed. Every single one went back. That's when I learned to walk to the device, photograph the existing part label, and write the full part number plus the serial number on the PO. If you can't read the label, call the manufacturer and give them the device's serial number. This one step would've caught 90% of the order errors I've made. (mental note: this is why our team now keeps a photo log of every gas detector.)

2. Know your fire extinguisher classes before you need them

I once replaced a commercial kitchen's Class K extinguisher with a regular ABC dry chemical unit because the K-class on the shelf cost $90 more. I thought fire is fire. It wasn't. The fire supervisor caught it during a routine inspection, and the kitchen had to close for half a day.

Class K fire extinguishers are for commercial cooking fires: oils, fats, and grease. An ABC dry chemical stream can splash burning oil across a hot surface and let it reignite. Wet chemical K-class units work by cooling the oil and forming a blanket over it. When you order, check the label for the letter K and make sure the mounting bracket matches the space. NFPA 10 is the standard to reference for placement and class selection (nfpa.org).

5. Don't buy work boots based only on branding

'Nike work boots' is one of those search terms that comes up with my team every quarter. People want a boot that feels like a running shoe. I get it. But the phrase is a trap for anyone who thinks a familiar logo is enough.

For industrial sites, protective footwear needs an ASTM F2413 rating for impact, compression, and other hazards. A comfortable boot without a safety-toe rating won't help when something falls across your foot, no matter how good the cushioning feels. If a crew member wants a Nike-style boot, find a safety footwear brand with an athletic fit, a wide toe box, and the right rating. The brand goes on the boot; the rating goes on the PO.

6. Inspect every delivery against the PO before you put it in the bin

This is the step people skip when the warehouse is busy. I've watched 12 boxes with correct labels turn out to be the wrong revision because someone logged a bad part number into inventory. Open one unit, compare the label to your PO, and record the serial or date code when it arrives. It takes minutes.

And for gas detector sensors, don't store spares in the trunk of a truck. Temperature extremes shorten their life. (I really should have written that in the checklist years ago.)

What was best practice in 2020 may not apply in 2025. The fundamentals haven't changed: identify the hazard, verify the part, and don't let a brand name stand in for a rating.
